PRIVACY POLICY
Bare Bear Waxing (“we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, how we store it, and what choices you have regarding your data when you interact with our salon, booking system, and communications.
1. Information We Collect
We may collect the following types of personal information when you book or receive services, complete forms, or communicate with us:
- Name
- Phone number
- Email address
- Appointment and service history
- Intake and informed consent forms
- Health or skin sensitivity information you choose to provide
- Communication records (text, email, voicemail)
- Purchase and transaction history
- Loyalty points and account credits
- Marketing preferences and opt-ins
Payment card details are processed through our booking and payment processors and are not stored directly by us in full card-number form.
2. How We Use Your Information
We use client information to:
- Schedule and manage appointments
- Deliver safe and appropriate services
- Maintain required informed consent records
- Communicate about appointments and scheduling
- Send service reminders and confirmations
- Respond to questions and support requests
- Process payments and track purchase history
- Provide receipts and account records
- Send optional marketing or promotional messages (only where permitted)
- Improve our services and client experience
We do not sell client personal information.
3. Booking & Software Platforms
We use third-party salon management and booking software and related service providers to operate our business. These platforms store client profiles, appointment records, and consent forms on our behalf. Those providers maintain their own privacy and security practices.
4. Marketing Communications
We may send appointment reminders, service messages, and occasional promotions by text or email.
Clients may opt out of marketing messages at any time by:
- Using the unsubscribe link in emails
- Replying STOP to text messages
- Contacting us directly
Opting out of marketing does not stop necessary service-related messages (such as appointment confirmations).
5. Who Has Access to Your Information
Access to client data is limited to:
- Authorized salon staff
- Authorized administrative personnel
- Service providers needed to operate booking, payment, and communication systems
We limit access to what is reasonably necessary to perform job duties.
6. Data Retention
We retain client records for a limited period as part of our normal business practices and risk management.
Our general retention standard is:
- Client records are retained for approximately six (6) years after the last visit, then may be permanently deleted.
- We may retain limited transaction or accounting records longer where required for tax or financial compliance.
7. Data Security
We use commercially reasonable administrative and technical safeguards through our software providers and internal practices to protect client information. While no system is guaranteed 100% secure, we take reasonable steps to safeguard data and limit unnecessary access.
8. Your Choices & Requests
Clients may update most of their contact and profile information directly through their online booking account. For security and account-integrity reasons, our salon staff cannot modify core profile details such as name, phone number, or email address on a client’s behalf.
If you need to correct your contact information, please update it through your booking profile or client portal.
Marketing communication preferences are managed primarily through the messaging systems used to send them. Clients may opt out by:
- Using the unsubscribe link in marketing emails
- Replying STOP (or similar keyword) to marketing text messages
- Adjusting notification preferences within their client profile where available
Our team can disable certain notification settings within our system upon request, but some marketing opt-outs must be completed directly by the client through the message or platform controls.
Clients may request deletion of their client profile. Please note that deletion may remove appointment history and stored forms and may not be available in all situations where records must be retained for business, accounting, or legal purposes.
9. Children’s Data
We provide services only to clients age 18 years of age and older. We do not offer service services to minor and do not knowingly collect or maintain personal information from individuals under 18 years of age. If we learn that a client profile was created for someone under 18, we will delete the record.
10. Policy Updates
We may update this Privacy Policy from time to time to reflect operational, legal, or technology changes. The most current version will be posted with the effective date.
11. Contact
This policy is intended to explain our real-world data practices in clear language and reflects how we operate our salon and client records. For privacy questions or requests, please contact us at 405-702-3630.
